AI Demand Forecasting and Inventory Automation for a UK Gifts and Toys Distributor

Client location: United Kingdom

A UK-based distributor of licensed gifts, toys, and seasonal merchandise sells through both wholesale and retail channels. For a business like this, demand rarely moves in a straight line. Seasonal peaks, licensed product trends, and several sales channels all shape what customers want and when.Stock decisions are hard to get right in that environment. The business needed clearer visibility into changing demand so its teams could plan purchasing and replenishment with more confidence, without replacing the systems it already relied on.

THE PROBLEM

Turning Fragmented Inventory Data into Better Demand Visibility.

Seasonal demand was the first difficulty. Sales in gifts and toys can shift quickly around peak periods, and forecasting them is hard. When a best-selling product runs out at the wrong moment, the business loses sales it would otherwise have made. The opposite risk was just as real. Buying too much stock ahead of a season ties up capital and warehouse space. Once the season ends, surplus inventory becomes harder to manage. Several things made these decisions harder:

  • Fragmented data: Inventory information sat across different systems, so there was no single, reliable view of sales, stock, and supplier activity.
  • Manual replenishment: Reordering depended largely on manual work, which made it difficult to react quickly when demand changes.
  • Multiple sales channels: Each channel adds its own demand pattern, so planning at SKU level becomes more complex.
  • The core need was better visibility into changing demand to support purchasing and replenishment, built on the systems the client already used.

THE SOLUTION

Connecting Sales, Stock and Supplier Data into One Decision-Support Layer.

We designed an AI-powered approach built around four connected components. The components build on one another. Sales data feeds the demand signals. Those signals, combined with stock levels, show which products are at risk. That risk, combined with supplier lead times, shapes the replenishment recommendations, and the recommendations inform purchasing decisions. The control tower makes this chain visible to the people who act on it. Technically, the solution uses Python for the AI and machine learning layer. Laravel handles the backend, including data processing and integration with existing systems. Vue.js powers the dashboard that teams work with day-to-day.

  • AI Demand Forecasting produces SKU-level forecasts. These help the business spot shifts in demand and anticipate future inventory requirements.
  • AI Stockout Prediction flags products showing a rising risk of running out, so teams can see potential inventory problems earlier.
  • AI Replenishment Assistant suggests reorder quantities based on current demand, available stock, and supplier lead times. It supports purchasing teams in making more informed replenishment decisions.
  • AI Peak-Season Control Tower is a central dashboard that brings the key signals together. It shows fast-moving products, delayed purchase orders, replenishment priorities, demand changes, and inventory risks in one place.
THE RESULT

Better Visibility for more Informed Inventory Decisions

The solution was designed to give teams a clearer picture of what is happening across the business. Its main benefits are:

  • Better understanding of changing demand, so shifts are noticed earlier.
  • Earlier identification of stock risks, giving teams more time to respond before a product runs out.
  • Clearer replenishment priorities, with reorder recommendations that reflect demand, stock and supplier lead times.
  • A clearer view of fast-moving products and delayed purchase orders.
  • A more connected view of sales, stock and supplier information, replacing data scattered across systems.

Together, these give purchasing and operations teams stronger support for decisions, particularly during peak-season inventory management. Automation reduces the effort of pulling information together, while people stay in charge of the final purchasing calls.
